How you'll make an impact

Working with Singapore’s Regional Director and local leadership team, this role will be responsible for providing support to Asia’s Regional Director in terms of diary management, travel planning and prioritisation of day to day responsibilities.  You will be a key player in helping make everyday life at Xero tick, providing exceptional administrative support to the Regional Director and Senior Leaders to ensure the team is well supported, ensuring the smooth management of daily operations for the Asia team.   You will report directly to the Chief of Staff in the UK, working closely with other Business Support Coordinators, Work Experience team, senior leaders and wider teams to reduce friction within our processes to ensure everything runs smoothly.

You are the kind of person that is always one step ahead, planning, predicting, prioritising and taking ownership of things constantly, as you go. 

What you'll do

  • Manage the Regional Director's calendar, travel, expenses, and meeting logistics.
  • Provide administrative support to the Asia Leadership Team, including scheduling meetings and coordinating offsites.
  • Act as the primary liaison for the Regional Director and Leadership Team, managing diaries and following up on key actions.
  • Take ownership of meetings by preparing agendas, minutes, and other necessary documents.
  • Lead small projects and act as a champion for global ways of working and communication.
  • Offer complete discretion and confidentiality on all business matters.
  • Support the Workplace Experience team and provide onboarding assistance for new employees.
  • Anticipate the Regional Director's needs to relieve their mental load and ensure a seamless work experience.

  • Providing comprehensive administrative support to senior executives, including expert management of diaries, travel arrangements, and expenses.
  • Being highly organised, detail-oriented, and action-focused, with a background in managing small-scale projects and anticipating executive needs.
  • Possessing excellent communication skills and a talent for building effective relationships across all levels of a global organisation.
  • Maintaining a high level of integrity for handling confidential information and having a flexible mindset to thrive in a dynamic, fast-paced environment.
  • Having the cultural awareness and experience to work collaboratively across multiple time zones and support a global business.
  • Being competent at managing and prioritising critical issues, with a proactive approach and a commitment to follow-through.
  • Being willing to work flexible or unconventional hours and travel when necessary to support the Regional Director.
  • Bringing strong soft skills, high empathy, and a high level of integrity to every interaction.
