A Day in the LifeThis role will coordinate and manage executive scheduling, prepare and organize important strategic materials and plans, and support Leadership meetings. This role serves as the eyes and ears for the VP (Vice President), connecting organizations, projects, and critical business information, ensuring meetings and materials are efficient and effective and serves as a trusted partner to deliver against the priorities of the business. The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate the VP’s needs. Pro-actively analyses and performs complex and diverse administrative tasks that are closely related to the role and responsibilities of the VP.Responsibilities may include the following and other duties may be assigned.
Uses problem solving techniques, tact and discretion when handling calls, making travel arrangements, scheduling meetings and managing other requests
Attending business meetings and providing meeting summaries
Supporting VP’s operational tasks such as simple excel and presentation. Producing documents, briefing papers, reports and presentations
Carrying out background research and presenting findings into subjects the VP is dealing with
Organizing and attending meetings, and ensuring the VP is well-prepared for meetings; this may include overall arrangement and scheduling of meetings, preparing agenda, catering menus, room and equipment set up
Organizing and dealing with incoming emails, meetings and post addressed to the VP; Welcoming and looking after visitors
Organizing and maintaining the calendar and making appointments for the VP
Managing budget monitoring, analyze and signal anomalies, handling expenses.
Dealing with correspondence, making notes and minutes; · drafting reports and communicating messages to stakeholders
Travel Arrangements - pre-planning where necessary. Spontaneous adjustments to travel, meetings or other requirements of the VP
Devising and maintaining office systems to deal efficiently with meetings
Organizing large-scale meetings/events on behalf of VP (Eg Townhalls, ELT meetings), managing logistics, working with cross functional teams to ensure execution of the meetings
Work closely with other Executive Assistants across the globe, liaising and collaborating on projects as and when required
Maintain and record personal records and documents to include but not limited to visa applications, travel document preparation etc.
Required Knowledge and Experience:
Requires a minimum of 6 years of relevant experience.
Solid experience in an administrative role reporting directly to a Senior Leader
Excellent written and verbal communication skills
Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
Proficiency with office productivity tools and an aptitude for learning new software and systems
Flexible team player, willing to adapt to changes and unafraid of challenges
Ability to maintain confidentiality of information related to the company and its employees
Excellent organizational skills; attention to detail, ability to plan and prioritize
Travel Requirement:
Could have up to 20% travel as mostly decided by the VP
