The Role
The Personal Assistant (PA) supports two key senior leaders within our Technology & Commercial team – the Chief Technology Officer – Growth & Incubation and Director, Semi-Skilled Commercial. The primary focus of this role is to provide outstanding administrative support and assistance for these leaders, and their teams where appropriate. The PA accountability may change or evolve over time aligned with business requirements.
All of our Technology teams are distributed across Asia Pacific, and therefore this role involves collaboration with executives, leaders and team members across multiple countries and locations.
The Team
Our Technology leaders and teams are based in both ANZ and Asia, so work very collaboratively across these regions.
The successful individual will have interactions with the following stakeholder groups:
- Executives and Senior Leaders across SEEK
- The Technology Leadership Team
- Enterprise functions including HR and Finance, and those within our Asia and ANZ Commercial business
- Other Executive and Personal Assistants – within Technology and across SEEK
- External stakeholders e.g., vendors,
- Extensive and sophisticated diary management for several busy leaders
- Travel coordination, including complex itineraries and visa applications
- Coordinating internal and external meetings across multiple time zones
- Preparing meeting agendas, presentations and calendar events
- Liaising with management in external businesses and international SEEK businesses
- Filtering calls & emails and serving as the primary point of contact for your leaders
- Ability to handle confidential and sensitive information with a high level of integrity
- Balancing expenses & invoices
- Manage logistics associated with team activities, offsite, functions or events
- Provide ad hoc support to other senior team members (as required)
- Various other ad-hoc administrative requests (eg. business cards, update phone & distribution list)
- From time to time, provide coverage for other PAs within Technology or across SEEK
- Experience supporting Senior Executive/s and ability to manage multiple direct leaders and calendars
- Proven experience in broad administrative duties including but not limited to: extensive diary and travel management (international travel, visas and itineraries), expenses, and coordination of meetings, agendas, materials and presentations.
- Ability to handle and prioritise multiple and disparate tasks in a rapidly changing environment where adaptability is critical
- Comfort working with stakeholders across locations and countries remotely (were required)
- Advanced level MS Word and PowerPoint; intermediate level MS Excel
- Ability to build strong working relationships with a range of stakeholders across the business
- Self-motivated and self-sufficient, with the ability to proactively “get stuff done” without close supervision
- A positive, helpful and can-do attitude with a strong sense of collaboration and flexibility
- Strong judgement and decision-making, knowing when to consult and when to act
- A high level of written and verbal communication skills and strong interpersonal skills
- High level of problem solving skills and thinking outside of the norm
- Experience working and thriving in a fast paced and dynamic office environment
- Persistent with a focus on follow-up, closing the loop and outcomes
- Experience working with counterparts in other countries, across timezones and cultures
