The Business Support Coordinator manages executive schedules, facilitates meetings, oversees travel logistics, and enhances operational efficiency for a leadership team at Xero.

As a Business Support Coordinator, you’ll play a pivotal role in enabling the effectiveness and impact of up to two Executives or a broader functional leadership team.
Far more than administrative support, this role blends strategic coordination, operational oversight and trusted partnership. Central to this is building strong, enduring relationships with the Executives and their teams, over time becoming an expert on their priorities, styles and needs, and uniquely positioning yourself to create the conditions for them to thrive and flourish at Xero.
You’ll act as a critical connector across teams, time zones and priorities, helping translate big picture goals into actionable plans, maintaining the operating rhythm of the function and keeping momentum behind key initiatives. By anticipating needs, removing roadblocks and driving clarity amidst complexity, you’ll create the space and focus for your leaders to lead well.
This role requires a unique combination of precision and agility, emotional intelligence and discretion, and a proactive mindset that thrives in ambiguity. You'll be the behind-the-scenes force that helps everything run smoothly, enabling the people, projects and priorities that drive Xero forward.
What you'll do
- Provide attuned, proactive support to up to 2 Executives.
- Attend leadership team meetings when required, to stay across strategic priorities, translate objectives into actionable plans, track milestones and surface risks or trade-offs early.
- Drive strong operating rhythms across the Executive’s leadership team, maintaining clarity on priorities, meeting cadences, deliverables and reporting cycles
- Manage complex calendars across time zones with precision, resolving conflicts and aligning with leadership priorities.
- Manage end-to-end travel logistics and proactively manage expenses to ensure policy compliance.
- Plan and run in-person or virtual meetings, workshops and offsites, including agenda design, if required, logistics, room bookings, catering, presentation decks and follow-up communication.
- Support regular leadership team cadences and key annual events.
- Raise and track purchase orders, manage contracts and recurring spend and work with finance and vendors to streamline procurement processes.
- Create high quality documents, decks and communications that are clear, polished and on-brand.
- Identify opportunities to improve processes and reduce friction in the way work gets done.
- Support strategic or operational projects as needed.
- Organise recognition, celebrate milestones and support engagement initiatives across global locations.
What you'll bring with you
- 5+ years supporting senior executives in fast-paced, dynamic environments.
- Demonstrated success managing competing priorities across regions and time zones.
- Experience with meeting facilitation, event management and team communications.
- Budget administration and procurement coordination experience preferred.
- Comfortable using Google Workspace or Microsoft Office, plus tools like Slack, Expensify, Asana or similar.
- Demonstrated experience in process improvement and operational support.
- Excellent written and verbal communication skills, with attention to tone, clarity and brand.
- Experience facilitating team rhythms, meetings, and planning cadences.
- Strong calendar, travel and expense management, particularly in fast-paced, global environments
- Ability to influence without authority and build alignment across stakeholders.
- A connector of people, ideas and systems.
- Discretion, trustworthiness and a high degree of emotional intelligence.
- Calm, adaptable and composed in ambiguity or shifting priorities, with the ability to pivot quickly in response to changing tasks or business needs.
