Key responsibilities:

Team and operations

  • Manage administration, diaries, calendars, and meeting logistics for team leaders, plus travel arrangements and expenses for the Head of Region.
  • Lead event planning and management (including team retreats, House engagement, partner gatherings, and regional Ensembles). Support logistics and organisation for internal events.
  • Keep the calendar up to date with upcoming communications and key event moments, working with the President’s office when required for effective cross-team coordination.
  • Prepare documentation and materials for meetings and events.
  • Liaise with other global and regional coordinators and stakeholders to ensure open communication and smooth operations.

Strategy and planning

  • Support the Head of Region in drafting the annual workplan. Track progress through regular team meetings and remind the team of deadlines and milestones.

Programme and grant management

  • Coordinate logistics across the full grant lifecycle: schedule meetings, track follow-ups, and support timely completion of key steps.
  • In collaboration with the Finance & Operations Business Partner monitor contract management and payments for consultants and external vendors, ensuring compliance and alignment with internal controls.
  • Maintain organised records and filing systems to support the full grant life cycle including documentation for due diligence, grant monitoring, and reporting. Follow up and respond to project requests via email or online tools (e.g., Grant Management System).

Budget and financial oversight

  • Support accurate tracking and budget monitoring for team events, seminars, and missions/travel, collaborating closely with the Head of Region, team members, and Finance & Operations Business Partner.

Risk management

  • Identify and flag logistical or administrative risks (e.g., missed deadlines, incomplete documentation) to relevant team members, supporting a culture of transparency and collective problem-solving.

Communications support

  • Assist in gathering content for communications materials for internal and external audiences, aligned with the Fondation CHANEL communications strategy.
  • Propose examples that highlight our partners’ impact and stories.
  • Maintain and update summaries of partner activity for team meetings, the internal newsletter, and internal/external platforms.

Monitoring, Evaluation, & Learning (MEL)

  • Support the organisation’s diversity, inclusion, and sustainability efforts.
  • Encourage and contribute to team learning, career development, and well-being initiatives.
  • Participate in community building and sector leadership on gender equality.

What you will bring:

  • Relevant experience in administration, coordination, philanthropy, social action, or a related field.
  • Lived experience, or experience working in multicultural or international environments.
  • Strong organisational, project management, and communication skills.
  • Demonstrated understanding of working for a corporate foundation. Proficiency with office software (Word, Excel, PowerPoint, Teams) and ability to learn new tools.
  • Excellent level of English required; additional languages are an asset.
  • Empathy, attention to detail, organisation, ability to multitask, and flexibility in a fast-paced environment.
