We’re looking for a Administration Executive for our office in Singapore. The role will be focusing on daily administrative duties, senior executives calendar management and reception desk management.

What you’ll do:

  • 5 day work week in office manning the reception desk
  • Manage MD’s calendar, schedule meetings, and coordinate travel arrangements.
  • Manage claims process for MD.
  • Organise and manage logistics of the Leadership Team meetings, trainings and similar activities.
  • Organize company events, staff activities, and office parties.
  • Draft organizational announcements.
  • Oversee reception and attend to visitors
  • Oversee day-to-day office administrative operations, including facilities and supplies.
  • Liaise with vendors and service providers for maintenance and procurement, raise purchase orders.
  • Monitor office inventory and ensure timely replenishment.
  • Manage office budgets and prepare expense reports.
  • Maintain accurate filing systems and records (electronic and physical).
  • Maintain up-to-date e-mail distribution system.
  • Assist with onboarding new employees, coordinating orientation and issuing laptops and phones.

You’ll have the following skills and experience:

  • Diploma or Degree in Business Administration or related field preferred.
  • 5-7 years of experience in administrative or office management roles.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication abilities.
  • Ability to handle confidential information with discretion.
  • Ability to work independently and manage multiple priorities.
  • Detail-oriented with strong problem-solving skills.
